Why are we doing this?

At our company, we understand the significance of a reliable hosting server for seamless operations and uninterrupted service delivery. Over the past few years, we have encountered both minor inconveniences and major setbacks related to our current hosting server. Addressing these issues has required considerable investments of time and resources, often with inadequate assistance from our server hosting provider. These challenges have encompassed critical server functionality gaps and disruptive spikes in workloads. We recognize that such complications not only affect our internal processes but can also result in significant downtime for you, our esteemed clients.

What does this mean for you?

While this information may not be relevant to all, it is of particular importance for those who regularly make changes to their website or utilize our webmail services. Please take a moment to carefully review the following details.

For those who make frequent changes:

  • As previously mentioned, the migration process will be conducted in a sequential manner. We kindly request your cooperation in refraining from making any alterations that you are not prepared to replicate. While we anticipate a smooth migration without any complications, unforeseen circumstances may still arise. In order to prevent any unnecessary effort or inconvenience of redoing modifications, we kindly ask that you postpone making edits for a minimum of 48 hours following your scheduled migration date. This precautionary measure aims to ensure a seamless transition and minimize any potential disruptions.
  • We are committed to ensuring the seamless functionality of all features following the completion of the site migration process. Our team will make every effort to verify the integrity and smooth operation of your website. However, in the event that you observe any discrepancies or issues that give rise to concerns, we kindly request you to promptly contact us or provide details of your concern below. Your feedback is highly valuable to us as we strive to deliver an optimal user experience.

For those that utilize webmail services:

For individuals utilizing Microsoft 365, this information does not apply to you, as you will not experience any impact or changes.

  • Rest assured that the migration process to the new server will seamlessly transfer every email from our current server. You can have complete peace of mind knowing that no important emails will be missed, and all services will continue to operate smoothly until the day of the migration. However, it is important to note that due to the inherent nature of POP3 email functionality, it is possible to encounter duplicate email downloads, including those that have been previously deleted. Unfortunately, this is an unavoidable aspect of the POP3 protocol. We understand the inconvenience this may cause, and we assure you that our team is committed to minimizing any disruptions during the transition.
  • Depending on the specific configuration of your devices, it may be necessary to re-authenticate your email account. This process entails removing the account from your device and subsequently re-adding it. In the event that you are uncertain about your email password, our team can assist you with a password reset. If you require guidance on adding your email account, please refer to the instructions provided below.
  • In the event that you exclusively utilize webmail features, please be aware that the webmail URL may undergo changes. Rest assured, we will promptly provide you with an update regarding any modifications in the near future.

For individuals who possess a ‘special’ or outdated website, we kindly request your patience and await direct communication from our team. As previously mentioned, we will not proceed with migrating your site until we have the opportunity to engage in a conversation with you personally.

Email Server Settings

In the majority of cases, the server settings are automatically detected for your convenience. However, manual configuration is required for the incoming and outgoing servers. Please refer to the table provided below, which contains all the necessary information pertaining to both POP3 and IMAP4 email server settings. It is important to note that the primary distinction in the setup process lies in the port used for incoming servers. If you are not confident in performing the setup independently, we welcome you to visit either our Medina or Brockport location, where our team will be ready to provide assistance and guidance.
